Privacy Policy

Flightcase is a crew management and payroll tool for IATSE union stewards, developed by Guillaume Delaporte / Ex Machina Productions. This Privacy Policy explains what information we collect, how we use it, and how we protect it.

1. Who we are

Flightcase is operated by Guillaume Delaporte, doing business as Ex Machina Productions. You can reach us at god@ex-machinaproductions.com.

2. What data we collect

Flightcase collects and processes the following information about crew members on behalf of the steward using the application:

Full name
Last 4 digits of Social Security Number (SSN)
Pay rate
Email address
Cell phone number
Work schedule and hours worked
Position and job classification

This information is entered manually by the steward or extracted from official IATSE work order PDFs provided by the steward.

3. How we use your data

Data collected through Flightcase is used exclusively for the following purposes:

Generating sign-in sheets and payroll reports
Calculating hours, overtime, and pay in accordance with the applicable IATSE contract
Submitting payroll data to the steward's Steward Report (a linked Google Sheet)
Sending payroll confirmation emails to crew members (where applicable)

We do not sell, rent, or share crew member data with any third party for marketing or commercial purposes.

4. Where data is stored

All data is stored within Google Sheets and Google Drive, under the steward's own Google account. Flightcase does not operate its own database or servers. Data remains within the steward's Google environment at all times.

5. Third-party services

Flightcase uses the following third-party services to process work order PDFs:

Anthropic Claude API — Work order PDFs are sent to Anthropic's API for structured data extraction. Anthropic does not retain submitted data for model training under our usage terms. See Anthropic's Privacy Policy.
Google Gemini API — Used in development mode for the same PDF extraction purpose. Data is processed under Google Cloud's data protection terms. See Google's Gemini API Terms.
Twilio — Used to send SMS notifications to crew members. Only cell phone numbers are shared with Twilio for this purpose. See Twilio's Privacy Policy.

6. Data security

All data is stored within Google's secure infrastructure, protected by the steward's Google account credentials and Google's own security measures. We recommend stewards enable two-factor authentication on their Google account.

Work order PDFs sent to the Claude or Gemini APIs are transmitted over encrypted HTTPS connections and are not retained by Anthropic or Google after processing.

7. Data retention

Flightcase does not independently retain data. All crew data exists within the steward's Google Sheets and Google Drive, and is subject to the steward's own data management practices. Crew members may contact their steward to request access to or deletion of their data.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, or delete personal data held about you. To exercise these rights, please contact the steward who managed your show, or reach us directly at god@ex-machinaproductions.com.

9. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of Flightcase constitutes acceptance of the updated policy.
